Agreement: Please read before submitting



To facilitate your participation in EarthWorks/Exchange City you must complete the steps outlined below.

Exchange City & EarthWorks - Kansas City is an educational organization offering experimental learning venues to school groups through the generous donation of philanthropic and corporate funders. Student fees cover only a portion of the actual cost of presenting and maintaining these programs. The other portion is made up of underwriting through educational grants, sponsorships and annual giving. Accurate student enrollment numbers are critical to properly schedule and facilitate the on-site visit of your students. Your feedback is always welcome in the on-going process to continually update and improve the program for both teachers and students.

Upon submission of this page you agree to the following:

Participating teachers agree to:

  • Attend a Teacher Training no later than four (4) weeks prior to your scheduled event date. All teachers new to the program are requested to attend a Teacher Training session in order to explore the site, review elements of the curriculum and become familiar with experiential learning.
  • Student materials may be picked up at training and/or a scheduled material pick-up date
  • Prepare students for their on-site visit and use follow-up activities
  • Arrange for student transportation
  • Recruit volunteers and inform them of their responsibilities and date of visit
  • Communicate and make arrangements with assigned shared school if applicable
  • We welcome schools and education groups of all sizes, however, for the optimum on-site student simulation experience, EarthWorks requests a minimum of 100 students. Schools with smaller populations will be paired together by EarthWorks, or schools may make their own arrangements to partner, without our assistance, to meet the 100-student minimum. Our daily enrollment goal is 125 students. If you are not currently paired with another group and have below 125 students enrolled, please be aware you may be paired with another group to meet this daily enrollment goal. Please note that a chosen habitat will be closed with total student numbers of less than 100; 2 habitats will be closed with total student numbers of less than 75. Students will still be able to experience all habitats during the expedition portion of the day.
  • The Exchange City/EarthWorks permission forms MUST be sent before day of site visit or accompany students on day of site visit.

This agreement commits your school to the following:

  • Cost per student is $20 for Exchange City / $20 per student for EarthWorks (5% discount applies to schools participating in both programs within the same school year; there is a maximum discount of 5%; *Exchange City & EarthWorks prices are subject to change).

  • Complete payment is due NO LATER than the day of your on-site visit

  • Discounts are void if payment is not received by date of visit

  • $50 late fee will be applied to all past due accounts

  • Refunds will not be made for students unable to participate in the on-site visit

  • Refunds will not be made for any returned student materials

  • Cancellations require 60 days notice. Unfortunately, reservations cancelled less than 60 days notice are nearly impossible for us to back-fill due to the workings of school budgets and procedures, leaving us fully staffed with no attendees after having held the spot for your school. Should your school need to cancel with a notice of less than 60 days, your school is responsible for 50% payment. Exchange City & EarthWorks reserves the right to change policies and program procedures without effect of this cancellation policy.
